Key holding is valuable because it makes an authorised local response possible. It also creates a responsibility to manage access carefully.
Avoid obvious identification
Keys should be coded rather than labelled with a complete property address. The code-to-property record should be controlled separately. This simple separation reduces unnecessary exposure if a key is misplaced.
Keep authority clear
Document who can request access, which contractors are approved and whether the owner must authorise every visit. Emergency instructions should explain who is contacted and any limit on arranging work.
Record access
An access log creates accountability. It should show why a key was used and by whom. Where a contractor attends alone, owners may also want a follow-up check to confirm the property is secured as instructed.
Review the full set
Include gate controls, mailbox keys, garage remotes and any communal access devices in the inventory. When locks change, update both the physical set and the record.
Guardemar includes secure key holding in its property care plans. We describe the practical controls used without making unsupported claims about external security certification.
